Terms of Service

Effective 12 October 2026. These terms are the agreement between you and HelloBusy for using the service.

1. The service

HelloBusy provides an AI front office for your business: an AI receptionist for calls you miss, a chief of staff that sorts your inbox and runs your day, a researcher for new leads, and the dashboard and apps you use to see and approve their work. Your instance runs on a server we operate for your business.

We are building quickly and features change. We may add, change or withdraw features; if we remove something you depend on, we'll tell you.

2. Your account

You must be 18 or older and act for a business. Sign-in is by passkey, or by a one-time code or link emailed to you — keep your devices and your email account secure, because whoever controls them controls your office. Tell us straight away at [email protected] if you think someone else has got in. You are responsible for what happens under your account, including anyone you let use it.

3. Approvals: nothing goes out without your OK

This is the core of how HelloBusy works, and it is a promise we keep in the software: emails, calendar changes and other outgoing actions are prepared as approvals and are carried out only when you tap Send or Apply.

Two things run on their own once you switch them on, because that is their purpose: your AI receptionist answering your phone line, and automatic replies to enquiries from your own website form. You choose whether those are on, you can turn them off at any time, and you remain responsible for what your business says through them. Inside your own mailbox the agents also label and file mail as they sort it — nothing is sent to anyone, and any filing can be undone from History.

You are responsible for reviewing what you approve. A draft is a draft until you send it.

4. Your data and the permissions you grant

Your content is yours. By connecting an account or a phone line you authorise us to access it for the purpose of running the service, as described in the Privacy Policy. You confirm that you have the right to grant that access for every mailbox, calendar and phone number you connect, including on behalf of your business and your staff.

We don't sell your data and we never train AI models on it. Your content does go to the AI providers that run the service, and the Privacy Policy says exactly which ones, what they see, and — while HelloBusy is in pilot — the one thing about our Claude account you should read before you connect a mailbox. You can revoke an account's access or close the service at any time, and ask us for an export or a deletion from Account → Your data.

5. Acceptable use

Don't use HelloBusy to:

We may suspend an account that is doing these things, immediately where there is risk to others, and we will tell you why.

6. Phone calls and recording

You are the operator of your business line. You are responsible for complying with the laws that apply to your calls — recording consent, call disclosure, telemarketing and do-not-call rules among them — and you confirm you have the right to record and transcribe calls to your number. Your receptionist can announce that a call is recorded, and must where your state requires it; you control that script. See the Privacy Policy for what is kept and for how long.

7. Fees and billing

Plans and prices are published on gethellobusy.com. Subscriptions are monthly, in advance, and renew automatically until cancelled. Prices are in US dollars and exclude any taxes, which are added where they apply.

Payment is handled by Stripe once paid plans are switched on. Until then, any account set up by arrangement with us is billed as agreed in writing with you — and your dashboard shows your plan as "Not set" until a plan is actually in place. Usage-heavy accounts (very high call minutes, for example) may need a higher tier; we'll talk to you before anything changes.

Fees already paid are not refunded except where the law requires it or we have got something badly wrong. We may change prices with at least 30 days' notice before your next renewal.

8. Cancellation

You can cancel at any time by emailing [email protected] (self-serve cancellation arrives with Stripe billing). Cancellation takes effect at the end of the paid month, after which the service stops. We delete your data, your instance and your backups within 30 days of cancellation — so ask for your export before you go, and we'll provide it.

9. AI output: check it before it counts

HelloBusy drafts, summarises and classifies using AI. AI gets things wrong: a summary can miss something, a draft can misstate a price, a call can be tagged as spam when it wasn't. The approvals model exists so a person decides. HelloBusy is not legal, tax, financial, medical or other professional advice, and you should not rely on it as the sole basis for a decision that matters.

10. Availability and disclaimers

We work hard to keep your office up, but the service is provided "as is" and "as available", without warranties of any kind, express or implied, including merchantability, fitness for a particular purpose and non-infringement. We don't warrant that the service will be uninterrupted or error-free, that calls will always be answered, or that third-party services we depend on — Google, Vapi, Deepgram, Groq, Anthropic, Cloudflare, Apple, Telegram, the phone network — will keep working. We offer no uptime SLA. We maintain nightly encrypted backups, but you remain responsible for your own records.

11. Limitation of liability

To the fullest extent the law allows: neither party is liable for indirect, incidental, special, consequential or punitive damages, or for lost profits, lost revenue, lost business or lost or corrupted data, even if told such damages were possible. Our total liability for all claims arising out of or relating to the service is limited to the amount you paid us in the 12 months before the claim (and if you have paid us nothing, to US $100).

Nothing here limits liability that cannot be limited by law, such as for fraud or wilful misconduct. You agree to indemnify us against claims arising from your use of the service in breach of these terms or the law, including claims by callers or recipients about calls, recordings or messages your account sent.

12. Suspension and termination

You may stop using HelloBusy at any time (see cancellation). We may suspend or terminate your account if you materially breach these terms and don't fix it within 10 days of our notice, if required by law, or immediately where your use threatens the service or other people. If we terminate without cause, we refund the unused part of the month. On termination your right to use the service ends and we delete your data as described above.

13. The rest

We own the service, its software and its brand; you own your content. You get a non-exclusive, non-transferable right to use the service while your account is in good standing. Feedback you send us we may use freely. We may change these terms; for material changes we email the address on your account at least 30 days ahead, and continuing to use HelloBusy after that means you accept them. If a provision is unenforceable the rest stands. We may assign these terms as part of a merger or sale of the business; you may not assign without our consent. These terms, with the Privacy Policy, are the whole agreement between us. Notices to us go to [email protected]; notices to you go to the email address on your account.

14. Governing law and disputes

These terms are governed by the laws of the governing-law state — not yet provided (United States), without regard to its conflict-of-laws rules, and the state and federal courts located there have exclusive jurisdiction — except that either party may seek an injunction anywhere to protect its rights. We'd always rather sort a problem out by email first: write to [email protected].
